Pickle People Ltd (“Pickle”, “we”, “us”) is committed to protecting your privacy. This notice explains how we collect and use your personal data when you apply for a role through us, when we consider you for a role, and when we put you forward to organisations we work with. Please read it alongside our website Privacy Policy, which covers personal data we collect through our website more generally.
If you have been asked to provide a reference for someone applying through us, please see the “If you are a referee” section below, which explains how we handle your information.
Pickle People Ltd is the controller responsible for your personal data in connection with our recruitment activities (except where this notice says a client organisation is acting as a separate controller — see section 2).

Pickle works in more than one way, and the way your personal data is handled depends on the type of role you have applied for or are being considered for. Please make sure you understand which of the following applies to you, the role advert will make this clear, and you can always ask us if you are unsure.
Route A: Roles within Pickle’s own team
If you are applying for a role working directly for Pickle, then Pickle is the employer and the sole controller of your personal data. We do not share your data with any client organisation for this purpose.
Route B: Roles where you would be engaged directly by one of our clients (“direct placements”)
For most of the roles we advertise, Pickle acts as a recruitment intermediary, we are not the employer. You are applying for a role with one of our client organisations, and if you are successful you would be engaged directly by that client. As part of our service, we prepare a candidate profile from the information you give us and share it with the relevant client so that they can consider you for the role you applied for. From the point your data is shared, that client acts as a separate data controller of your information for their own recruitment decision, under their own privacy notice.
Route C: Roles delivered as a Pickle contractor (“managed service”)
For some roles, you would be engaged by Pickle as a self-employed contractor to deliver services to one of our clients. In this case you contract with Pickle rather than with the client, and Pickle remains the controller of your personal data. We share your profile with the relevant client so that they can consider you for the engagement.
In every route, if you are successful and go on to be employed by Pickle or engaged as a Pickle contractor, your personal data will then be handled in line with the privacy notice provided as part of your employment or engagement terms.
Depending on the role and how you apply, we may collect and process:
We do not ask for special-category data (such as health or ethnicity) as part of the recruitment process. Where any such information is collected (for example through an optional, anonymous equal-opportunities survey) it is handled separately and is not used to make recruitment decisions.

Our lawful basis is legitimate interests. As a recruitment business matching candidates to suitable roles and putting them forward for consideration, we rely on our legitimate interests as the lawful basis for this processing. We have considered your interests and rights, and we consider that this processing is within the reasonable expectations of someone applying for a role through a recruitment business.
We do not rely on your consent as the lawful basis for processing your application. Where we would like to put you forward for a different role that you have not applied for, we will ask you first.
Use of AI-assisted tools
We use AI-assisted tools to help us prepare your candidate profile from the information you provide. A member of our team reviews every profile before it is shared with a client. Profiles are not created or shared by automated means alone, and no decision about your application is made solely by automated processing.

Where we share your profile with a client through an online folder or system, we do so on a restricted, access-controlled basis, limited to the people at the client who need to see it for the relevant role.
Some of the people and organisations we work with are located outside the UK. Where your personal data is transferred outside the UK to a country that does not have equivalent data protection laws, we ensure it is protected by appropriate safeguards, such as the UK’s International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with a transfer risk assessment. You can ask us for more information about the safeguards in place.
If your application is not successful, we keep your recruitment data for 12 months from the end of the recruitment process, after which it is securely deleted, unless you ask us to delete it sooner, or we are required to keep it longer to meet a legal obligation.
If you are successful and go on to be employed by Pickle or engaged as a Pickle contractor, the personal data we hold about you will then be handled in line with the privacy notice provided as part of your employment or engagement terms, which explains how we use your data during that relationship.
If you have provided a reference for a candidate, we keep the reference and your contact details alongside that candidate’s application, and delete them in line with the same periods set out above.
We take appropriate technical and organisational measures to keep your personal data secure, and we limit access to those who have a genuine need for it. Those handling your data are subject to a duty of confidentiality.

If you have any concerns about how we handle your personal data, please contact us at info-gov@findpickle.com. We will acknowledge your complaint within 30 days and investigate it without undue delay, keeping you informed and letting you know the outcome.
You also have the right to complain to the Information Commissioner’s Office (ICO) at any time, we would, however, welcome the opportunity to resolve your concerns first. If someone applying for a role through us has given us your details as a referee, this section explains how we handle your information.
The candidate has provided your contact details so that we can ask you for a reference as part of their recruitment. Pickle People Ltd is the controller of this information. We process your details, and any reference you provide, on the basis of our legitimate interests in assessing candidates’ suitability for roles, and we do not use them for any other purpose. We keep this information in connection with the candidate’s application, in line with the periods set out in the “How long we keep your data” section above. You have the same rights described in the “Your rights” section, including the right to object to our use of your information, and you can contact us or raise a concern as described in the “How to complain” and “Contact us” sections.
We may update this notice from time to time. Where we make significant changes, we will take reasonable steps to bring them to your attention.
